Enhanced Messenger - Timetables

As part of your Enhanced Messenger package, you will be able to send academic and exam timetables home to parents and students. This feature is currently only available for SIMS schools.

Getting Started

From your Tiles (Homepage), you will see the Timetable tile. If you are unable to see this, contact your school administrator to check your permissions in Messenger.

Click on one of the three options from the Timetable tile:

  • Academic Timetables: regular school timetables
  • Exam Timetables: the schedule for students’ exams
  • Individual Timetables: send either an academic or exam timetable to an individual student.

Exam Timetable

1) Click on the Exam Timetables option from the Timetable tile.

2) On the first page of the Exam Timetables wizard, type in the name of the relevant group into the search bar and tick them off the list that appears below. You can tick off more than one group.

3) Once you have selected all the groups you wish to send exam timetables to, click Next Step from the bottom right.

4) From the next page, toggle All Parents to ensure all parents (rather than just Primary Parents) receive a copy of their students’ timetables.

a. You can also choose to send to the student directly (toggle Students) and click Next Step. You will need to have student emails stored in your MIS to do so.

 5) You will then have the option to send the message along with an SMS notification. The timetable will be attached to the email as a PDF.

a. Leave the option set for each student parent combination to ensure timetables for all siblings in the selected groups are sent home to parents, then click Next Step.

6) If you would like to see a preview of one student’s timetable from the selected group(s), toggle Preview Timetable?

7) Select the message that you want to email parents with the student’s exam timetable, and click Next Step from the bottom right of the page.

a. To add or edit message templates, visit the Message Library.

 8) If you chose to Preview a Timetable (as per step 6), you will then be asked to tick just one student from the chosen group(s). You will be able to see a copy of this student’s timetable from the next step. If you didn’t choose to Preview a Timetable, ignore this step.

9) Before you send exam timetables home, you will have the chance to review your selection.

 

Send exams

 a. Sending Statistics: will inform you if there are recipients that won’t receive a message (due to missing/malformed contact information in your MIS).

b. Click here to preview: if you have requested to preview a timetable (as per step 6 and 8), you will see a hyperlink to preview it towards the bottom of the page.

c. Translate: clicking on Options from the bottom of the page will allow you to translate the message for any parents that do not have English set as their home language.

d. Schedule later: if you want to schedule the message to be sent out at a later time, you can do so via Options.

10) When you are ready, click Send.

 


Top Tip: Exam timetables will be selected from the SIMS examinations module, according to the default season as set by the school’s exam officer. This means that you must ensure that SIMS has been configured appropriately before sending exam timetables. If in doubt, speak to your exams officer.

Academic Timetables

1) Click the Academic Timetables option from the Timetable

2) On the first page of the Academic Timetables wizard, type in the name of the relevant group into the search bar and tick them off the list that appears below. You can tick off more than one group.

3) Once you have selected all the groups you wish to send academic timetables to, click Next Step from the bottom right.

4) Toggle next to the required Sending to options to choose the recipients that will receive the timetables: Primary Parents or All Parents, and Students.

From the next step, you can choose to send an SMS notification to let parents know that they will receive an email with their student’s timetable attached as a PDF.

6) You will then need to pick effective date for the timetable. Click on the date picker and select the date from the drop-down calendar.

7) From the same page, you can choose to receive a preview of one student’s timetable - just toggle Preview Timetable? Please note, generating a preview of a timetable may take a while.

8) You will also need to select a message that will be emailed to parents with their student’s timetable. Tick next to the message you wish to use.

a. Timetable message templates can be added or edited from your Message Library.

9) If you chose to Preview a timetable (as per step 7), you will then be asked to tick just one student from the chosen group(s). You will be able to see a copy of this student’s timetable from the next step. If you didn’t choose to Preview Timetable, ignore this step.

10) Before you send academic timetables home, you will have the chance to review your selection.

Individual Timetables

2) On the first page of the Individual Timetables wizard, type in the name of the relevant student into the search bar and tick them off the list that appears below. You can search and tick off more than one student.

a. Once you have selected all the students you wish to send timetables to, click Next Step from the bottom right.

3) Toggle next to the required Sending to options to choose the recipients that will receive the timetables: Primary Parents or All Parents, and Students.

5) Choose the type of timetable that you wish to send home to parents: Exam Timetable or Student Timetable.

6) If you select Student Timetable, you will then need to pick effective date for the selected timetable. Click on the date picker and select the date from the drop-down calendar. Move on to step 7 if you have chosen Exam Timetable.

View Sent Timetables

After you have sent timetables home, you can open your Messenger History. As timetable data is first collected from SIMS, the status for the messages you have just sent will show as Awaiting Data. This may take some time, depending on the amount of timetable data and the number you have requested. You may wish to visit this area later in order to confirm the messages have been sent.

1) From your side menu, click History, then select the relevant timeframe from the options.

2) From Message History, queued timetables will be displayed under the Message column:

a. The status for timetables will read as Awaiting Data until they become available from your MIS after which time, the Status column will read as Processed. This may take longer depending on the size of the timetables and the number you have requested.

Top Tip: If you find a student is missing from the list of sent messages, it means they did not have a report of the type selected within the date range, either specified or implied as most recent. You should look in SIMS to investigate this.
