Emerge Assessment Template Configuration

The following instructions detail how to show SIMS assessment results in the Xpressions app so that they are visible to parents. Please note that this functionality requires a subscription the Enhanced Xpressions Service and will not function if you only use the Core service - more information is available here.

The following steps are carried out in SIMS. The guidance below has been provided in order to assist you with the necessary configuration required for Assessment records to display in the Groupcall Xpressions app, however specifics relating to SIMS are outside of the support boundaries of Groupcall; therefore if you encounter any problems, your SIMS administrator or Capita support should be your first port of call.
Ensure you are logged into SIMS with an account that has permissions to manage assessments. If any of the options specified below or shown in screenshots are missing, you may have insufficient rights and should therefore speak to your SIMS administrator.

Basic Method

  • From the tools menu select Performance > Assessment > Category. Right click on “CES Assessment Services” to add a new category type “Groupcall” if one does not exist already.
  • Right click on the new Groupcall category type to add the category of  "Parental Emerge". Save your changes.
  • From the Focus Menu select Assessment > Template and from there tag an existing template, or setup a new one, with the category as required.
    • You may give as many templates the Parental category as you wish, however in reality the information that a parent needs to see is likely to be different to that of a teacher so you may wish to set up different templates for each audience.
  • Each template must contain a valid ResultSet.
  • Additionally the 'Aspect' Columns in any template you share must not be set to Read Only.
  • You should also note the settings specified in the Emerge Management Console as the dates specified there can impact Xpressions.

    • The related setting can be found using the search function in the table displayed; it is called "Oldest Assessment Results (Acad Years)".
  • This will now allow the Assessment template to be published to parents via the Groupcall app.
  • Once you have made the changes in SIMS detailed above you may need to perform some additional steps in order to display the new information on any test devices. This only applies if you wish to 'verify' the changes in SIMS and see how they display, regular users will not need to do this to see the changes as they will be displayed automatically after their device updates overnight.
    1. Run the 'DailyExtracts' job manually from Xporter on the server.
    2. Lock the Groupcall app and go back in to force an update.

Show Detailed Instructions

1. Set up an assessment category of type “Groupcall” and name(s) “Parental Emerge".

  • From the tools menu select Performance > Assessment > Category.
  • Review and accept any warning messages that may appear. Speak to your SIMS administrator and come back to the rest of this process if you encounter any issues.

2. Right click on “CES Assessment Services” to add a new category type “Groupcall” if one does not exist already.

  • Ensure you spell the name exactly as it appears here for the configuration to work taking note of capital letters and any spaces where needed.

3. Right click on the Groupcall category type to add the category required.

  • Ensure you spell the name exactly as it appears above for the configuration to work taking note of capital letters and any spaces where needed.

Then click on the Save button.

  • This is an essential step so that the newly added category is available in subsequent steps. If you find later steps do not have the Groupcall > Parental Emerge category available, please ensure you have clicked save (you may have to repeat the above steps) and then re-open any templates as required to refresh the list of available categories.

You may now close the Assessment Category Window.

4. Tag a template with the category as required and configure the template appropriately.

  • From the Focus Menu select Assessment > Template.

  • Choose an Assessment category from the list and navigate to section '4. Categories'.
  • From here, locate the newly created category as required and tick the box.

5. This will now allow the Assessment template to be published to parents via the Groupcall app.

  • The Emerge service, assuming any and all other configuration is set up appropriately, will now make assessment data available to parents from within a student's records in the Groupcall app.

Once you have made the changes in SIMS detailed above you may need to perform some additional steps in order to display the new information on any test devices. This only applies if you wish to 'verify' the changes in SIMS and see how they display, regular users will not need to do this to see the changes as they will be displayed automatically after their device updates overnight.
