Managing saved messages and templates

If you are an administrator for Messenger, you can add or edit message templates via the Message Library. Message templates help to increase the speed of sending messages and also encourage consistency amongst Messenger users.

Via user permissions, you can limit other users to only being able to use message templates, rather than being able to write their own messages, should you wish to do so.

Create new message

It is strongly recommended that you create your own templates, or if using Groupcall supplied templates, that you copy and save your own versions using the steps below.

Any updates from Groupcall to Groupcall-supplied templates will overwrite any changes you make.

1) From your side menu on the left, click Tools, then Libraries From the list, click Message Library

2) Click New_Message.png from the top right corner of the Manage Message Library.

3) From the pop-up box:

a. Select the Message Type (category) using the dropdown menu.
b. Enter the name of this message template (e.g. Lunchtime Detention, Non-Uniform Days). Click Save-1.png to create a new template.

4) On the list of messages on the left, your new message will appear under the Message Type that you have selected. Click on your message to begin drafting the template.

5) Enter an appropriate Header, then type your message in the panel below.

6) Once you have created your new message, simply click in the bottom right corner.

 

Copy Standard Message Library

This is a feature that can be activated via your Account Settings, and will update your message template library with new templates supplied by Groupcall, or update any existing Groupcall templates.

However, updating existing Groupcall templates in this way may cause any edits you have previously made to be overwritten. To avoid this, you may wish to copy the existing template that you have edited and follow the steps to create a new message (above).

Edit existing message

1) Visit Tools from the side menu, then click Libraries. Click Message Library.

2) Once you are in Manage Message Library, select the message that you need to edit or update:

a. Existing messages can be located from the panel on the left. Expand a message category (Message Type) by clicking on it:

b. Click on the message you wish to edit and it will be displayed in the middle of the page.

3) Via the panel above the text editor, you will be able to click through the different methods of communication (e.g. SMS, Voice, Email, Letter) to see how the message would look in the different formats.


a. As you can see from the above video, if you wish to use the advanced editor for Email and Letter templates, you will need to untick Email/Letter content as SMS.

4) Update both the Header and the main body of the message as required.

 

 

5) Once you have updated the message template, click Save-1.png from the bottom right corner of the page.

Delete Message

To delete a message you no longer use or need, right click on the message from the Message list (panel on the left) and click delete. This action is irreversible.

Link to Tiles

To add Message Types (categories) to the list of messages you can choose from when sending a message via the Tiles (wizards), follow the short steps below.

 1) From the panel on the left, click on the Message Type that you wish to link.

2) In the middle of the page, you will be given the option to choose which Tile you want to link this Message Type to.

3) Tick the Tile you want to be able to access this Message Type. For example, adding a Message Type called ‘Non-Uniform Days’ to the Quick Message Tile.

4) Click Save-1.png from the bottom right corner.

Unlink from Tiles

1) To remove a Message Type from any of the Tiles, click on the Message Type from the panel on the left.

2) Untick the Tile that it is linked to (from the middle of the page).

3) Click Save-1.png from the bottom right corner.
